Delivery, Setup, and Pack-Up Policy

1. General Overview

This policy outlines the terms for delivery, setup, and pack-up services provided by [Your Business Name] (“we,” “us,” or “our”) as part of our event hire and styling services. By engaging our services, you (“the Client”) agree to the terms outlined below.

2. Delivery Policy

2.1 Delivery Area

• We offer delivery services within Victoria.

• Deliveries outside these areas may incur additional charges and are subject to availability.

2.2 Delivery Fee

• A delivery fee will apply based on the location, size, and complexity of the order. The fee will be included in your quote or invoice.

2.3 Delivery Timing

• Delivery will be made on the date and time agreed during booking.

• We will endeavor to meet the agreed delivery schedule; however, delays due to unforeseen circumstances (e.g., traffic, weather) are not our liability.

• The Client or an authorized representative must be present at the delivery location to accept the items and sign a delivery acknowledgment.

2.4 Delivery Conditions

• The delivery location must be accessible, safe, and prepared for unloading.

• If the site is not ready or accessible, additional charges may apply for waiting times or rescheduling.

3. Setup Policy

3.1 Scope of Setup Services

• Our setup services include arranging and installing props and styling items as specified in your booking agreement.

• We will follow the styling plan agreed upon during the consultation phase. Unforeseen circumstances may allow for us to make changes in the styling plan without further notice

3.2 Access and Requirements

• The Client is responsible for ensuring we have access to the venue at the agreed time.

• The venue must meet all necessary safety and access requirements, including parking and loading zone provisions.

• If additional time or effort is required due to venue restrictions or last-minute changes, extra charges may apply.

3.3 Setup Timeline

• Setup times will be outlined in the booking confirmation and depend on the complexity of the event.

• Any delays caused by the Client, venue, or third parties may result in additional charges.

4. Pack-Up Policy

4.1 Pack-Up Timing

• Pack-up will occur at the time agreed upon in the booking confirmation.

• If the venue imposes specific pack-up times, the Client must inform us during the booking process.

4.2 Pack-Up Responsibility

• Our team will dismantle and collect all hired props and styling items.

• Any items not belonging to us (e.g., decorations supplied by the Client) must be removed by the Client or authorized parties before our pack-up begins.

4.3 Lost or Damaged Items

• The Client is responsible for ensuring that all hired items are accounted for at pack-up.

• Damaged, missing, or stolen items will incur repair or replacement costs, which will be charged to the Client.

5. Additional Charges

5.1 After-Hours Fees

• Deliveries, setups, or pack-ups scheduled outside standard operating hours (e.g., early mornings, late nights, public holidays) may incur additional fees.

5.2 Extended Hire

• If items are not returned or collected at the agreed time due to the Client’s or venue’s delay, additional hire charges may apply.

5.3 Waiting Times

• Waiting time fees may apply if our team is delayed due to venue access restrictions or other unforeseen circumstances caused by the Client or third parties.

6. Client Responsibilities

• Ensure all necessary permissions and access arrangements are secured with the venue.

• Communicate any changes to the schedule or requirements as soon as possible.

• Inform us of any venue-specific restrictions (e.g., stairs, elevators, loading docks) during the booking process.

7. Liability and Insurance

• We will take all reasonable care during delivery, setup, and pack-up. However, we are not liable for any damage caused to the venue or surrounding property unless caused by our negligence.

• The Client is advised to arrange insurance coverage for their event if required.

8. Force Majeure

We are not liable for delays or failure to perform our delivery, setup, or pack-up obligations due to circumstances beyond our control, including but not limited to natural disasters, strikes, or road closures.
